Our platform was created by those organising large-scale event for Scouts and Girlguiding. Now acquired by the team that run Scout Websites, you’ll be working with a team that understand the operation of Scouts and Girlguiding inside out.

The Scouts EMS platform is packed with functionality. You can pick and choose features from the list below as they’re required:

  • Group Leaders register their Group, which gives them access to the platform.
  • Additional Group Leaders can register themselves and be approved.
  • Each adult can fill in personal and medical data.
  • Young People can be added by a Leader.
  • The parent/guardian of each Young Person can fill in personal and medical data, and upload a photograph.
  • Volunteers can register, and fill in personal and medical data, as well as defining multiple roles.
  • Costs can be inputted, showcasing BACs payment details and unique references to each Group, with payment reconciliation.
  • Event data can be downloaded in spreadsheet format by the event organisers.
  • Wristbands can be supplied to be used alongside the platform, allowing personal and medical data to be pulled up.

What is required to get started?

We’ll need some simple information from you: the name of your event, estimated number of attendees, and a few other bits. Once we’ve got this, we’ll set your event up within our platform and give you access. From this moment forward, you’re able to use it. We always ask to be given around a month notice to get everything set up for you, just in case anything needs coding bespoke, but we can work a lot faster than this if needed.

What does it cost?

Our pricing is really simple. We charge a fee per person for the use of our platform, and then a fee per person if you’d like wristbands. Once you’ve told us a little bit about your event, we’ll be able to share this pricing table with you.

When do we pay?

For all events expecting below 2,000 attendees, payment for the use of our platform is charged upon commitment, prior to access being granted.

For all events expecting above 2,000 attendees:

  • ⅓ of the fee for the use of our platform is due prior to access being granted;
  • ⅓ of the fee for the use of our platform is due once 50% of your total event capacity has been registered within the platform; and
  • ⅓ of the fee for the use of our platform is due prior to your event starting.

All wristband fees are charged additionally before the order is placed, once final numbers have been collected.
